Performer Staffing Coordinator – SpeechLess Music

SpeechLess Music is a boutique entertainment company based out of Boston. We represent and manage 5 different ensembles (Pop Strings, Classical Strings, Jazz, Party Band, and DJ), working with performers all over the country, project managing 100+ performances per year.

SpeechLess is seeking a candidate that is first and foremost an incredible administrator, someone who is exceptionally organized. Due to the volume and complexity of event production, attention to detail, speed, and accountability are absolutely essential to succeed here. The Performer Staffing Coordinator is responsible for project managing the musical and logistical side of events which includes staffing talent, coordination of sheet music and equipment, and general oversight of event execution.

Staff performers for events (nationwide)
– Invite musicians to each performance until it is fully staffed
– Match client wants/needs with available talent
– Keep logistics (transportation) and gig duties (band leading, emceeing, sound engineering) in mind to avoid coordination and training problems
– Notify Talent Specialist of any staffed performers who need musical or professional training
– Rotate performers in such a way that ensures quality while derisking key-person risk
– Balance the needs of today (book the best performers) with the needs of tomorrow (develop new talent) by proactively staffing new talent alongside veteran performers to continually increase the depth of the roster

Project manage all non-customer related activities for each performance
– Administration of sheet music & equipment
– Review gig info sheets for clarity and accuracy, request more information from event planner as needed
– Instruct performers on customer wants/needs & highlight any atypical musical or logistical details
– Give special attention to new performers and anyone that needs additional training, requesting assistance from Talent Specialist with training, pep talks, and hand-holding as needed
– Assist band leaders with ensemble communication & logistics
– Assign and distribute SL equipment in collaboration with Talent Specialist

Sound & musical equipment administration
– Ordering, receiving and assembly of equipment (speakers, microphones, business cards, sheet music, etc..)
– Manage inventory, distribution, and maintenance
– Ship out proprietary/branded equipment from Boston to other parts of the country as needed

Roster maintenance
– Audit and proactively address talent deficiencies & logistical issues before problems arise
– Monitor ratio of supply & demand (gigs booked vs depth of roster), coordinate recruiting priorities accordingly
– Collaborate with Talent Specialist to execute recurring maintenance on rosters

Additional Duties
– Assist Talent Specialist with acquiring, developing, & databasing performers
– Assist A/V team with staffing recording sessions (studio in Brighton, MA)
– Alternate weekends “on-call” to handle a potential gig emergency
– Periodically attend & inspect live performances (Boston + possibility of business travel nationwide)
– Facilitate a community of caring and a culture of collaboration amongst performers and SpeechLess

Qualifications & Skills
Extraordinary organization & administration capabilities
Excellent computer skills (Google Workspace)
Innate sense of responsibility and accountability

Live in (or near) Boston, MA
Own a car
Flexible schedule, including weekends

1099 Contractor
Compensation commensurate with experience and productivity ($21-30 per hr)
